Job Title:      DIRECTOR OF TEEN PREGNANCY PROGRAMMING

Responsible to:           Chief of Staff

Job Purpose:        The mission of the YWCA MOMS R US teen pregnancy program is to improve the lifetime health and wellness of teens and their babies by providing the education, resources, encouragement, and individualized support necessary to ensure they complete their education and work towards family self-sufficiency. The Director of Teen Pregnancy Programming is responsible for the overall development, management, coordination, daily operations and service implementation and delivery of the teen pregnancy education and support program for Bristol TN/VA, Sullivan County, TN and Washington County, VA.  This is a full-time, grant-funded position.

Primary Duties and Responsibilities

The Director of Teen Pregnancy Programming performs all of the following:

 Program Development

  • Develop, oversee, and maintain a comprehensive teen maternal and fetal health initiative.
  • Collaborate with community resources (e.g., school systems, health departments, social services, etc.) to ensure service availability for pregnant and parenting teens.
  • Actively participate in community groups and committees designed to address infant, youth and teen health and human services.
  • Network with other community resources and agencies to identify any unmet needs for teen parents in Bristol TN/VA, Sullivan County, TN and Washington County, TN.
  • Continue innovative services that address the special needs of pregnant and parenting teens from diverse and/or underserved
  • Maintain accurate records of service and compliance with program objectives and grant requirements.
  • Create, supervise, and facilitate a client satisfaction survey, along with other methods of soliciting feedback, to incorporate into policies, procedures and program development.

Program Management

  • Develop and maintain a highly competent, motivated, and productive staff, resolve staff issues and grievances fairly and effectively.
  • Serve as a role model while maintaining the highest ethical standards.
  • Recruit, train, supervise, support, and retain program volunteers.
  • Supervise and ensure compliance with procedures and policies.
  • Collect, maintain, and record program statistics to support grant objectives.
  • Schedule and lead staff meetings.
  • Assist with the development and monitoring of program budgets and expenses.

Advocacy and Case Management

  • Provide ongoing support, services and education to teen parents.
  • Conduct initial intake with teen parents entering the teen pregnancy program.
  • Provide the trauma informed care approach with non-judgmental, empathetic, supportive advocacy and education for teen parents.
  • Provide comprehensive follow-up contact and services.
  • Provide regularly scheduled educational classes and parenting mentorship specific for teen parents.
  • Facilitate ongoing teen parenting mentorship and support groups at various locations throughout the community.
  • Assist, support and offer one-on-one case management services to program participants based on unique needs of teen parents.
  • Engage other health and human service agencies on behalf of participants
  • Provide logistical support for teens to attend prenatal appointments as well as follow-up appointments for the teen and infant.
  • Provide logistical and material support for teens applying for human or social service benefits (e.g., WIC, Food Stamps, Childcare Assistance)
  • Provide logistical and material support for teens navigating the justice system.

Education and Outreach

  • Provide information to local health, human services, municipal facilities, and other community agencies addressing services for pregnant and parenting teens.
  • Provide teen pregnancy prevention presentations for community agencies (as requested)
  • Provide, facilitate, and promote Trauma Informed Care trainings for agencies serving teens
  • Create and facilitate informational presentations for high schools and institutions of higher learning on teen pregnancy and the unique challenges of teen parenting.
  • Implement and maintain an ongoing schedule that provides information and community outreach about teen pregnancy awareness throughout Bristol, VA/TN, Sullivan County, TN and Washington County, VA using printed materials, media and educational events.

General Duties and Responsibilities

  • Maintain a professional, confidential, non-judgmental relationship with all clients, volunteers, community partners and YWCA staff members.
  • Compensate for rural travel and geographic barriers by traveling to meet with clients in a confidential and safe location as needed and schedule availability permits.
  • Possess effective written and oral communication skills.
  • Maintain client files that ensure confidentiality.
  • Communicate and interact in a professional, cooperative manner with other staff members to ensure quality work.
  • Attendance and participation is expected at staff and grant planning meetings.
  • Complete tasks as assigned by management within the time frame established.
  • Submit a monthly report to the Chief of Staff by designated date to include service statistics, work activities, and discussion of any emerging needs or concerns.
  • Participate in and positively represent the teen pregnancy program and the YWCA during work related activities those held outside of regular work hours.
  • Positively represent and promote the YWCA through community education and public relation efforts.

Requirements

  • S. /B.A. degree in Human Services or related field.
  • Minimum of 3-5 years of experience in client services and/or non-profit leadership.
  • Excellent leadership, management, and interpersonal skills.
  • Comprehensive knowledge of maternal and fetal health programming, special focus on teens
  • Must have experience working with at risk youth and teens in regards to Adverse Childhood Experiences and utilizing Trauma Informed Care approaches
  • Ability to communicate effectively with persons of diverse socioeconomic and cultural backgrounds.
  • Ability to manage grant requirements and reporting.
  • Must have proficiency in using a variety of computer software applications as they apply to the position.

Job Title:     SENIOR EXECUTIVE ASSISTANT

Responsible to:           CEO

 Job Purpose:   The Senior Executive Assistant is responsible to support our CEO in a timely and professional manner. Position provides high-quality administrative and clerical assistance. The Senior Executive Assistant’s main duties include creating correspondence, organizing daily schedules, managing donor cultivation and meetings. To be successful in this role, you should be proactive, meet deadlines and communicate effectively. Our ideal candidate also has previous experience as an executive assistant and is familiar with office management technologies. Ultimately, you should be able to identify and address the needs of the CEO and perform administrative tasks to ensure workflow runs smoothly.

Primary Duties and Responsibilities

The Senior Executive Assistant performs the following:

Office Management and Administrative Duties

  • Prepares notices, materials and set up for Board of Directors and Administrative Staff Meetings
  • Schedules appointments and provides information to callers and staff
  • Oversees and carries out various day-to-day departmental administrative functions
  • Composes correspondence and reports
  • Conducts internet research and collects data for reports and meetings
  • Compiles a variety of information from both manual and computerized records and files for regular and special reports and in response to specific requests
  • Assists with board activities, annual meeting, prospective board member luncheon, Board of Director training and other YW functions
  • Processes replies on own initiative or from Executive Director’s dictation or notes
  • Updates delegated tasks to ensure progress to deadlines
  • Maintains calendar; Keeps projects on schedule
  • When Executive Director chairs meetings:
    • Prepares agenda in advance
    • Arranges meeting facilities
    • Acts as recording secretary; prepares minutes of the meeting
    • Performs any necessary follow up
  • Assures discreet handling of all business
  • Maintains office files
  • Participates in conferences, training sessions, and meetings relating to areas of assigned responsibility
  • Handles sensitive information in a confidential manner
  • Coordinates special projects such as United Way application, peer reviews, etc.

Donor Relations

 Assists with donor cultivation

  • Acknowledges donations appropriately
  • Sets up donor appreciation events
  • Maintains accurate records of donations and upcoming events

Grant Management

 Maintains grant calendar and assists with grant writing

  • Manages program data collection for current grants
  • Investigates potential grant opportunities

 Staff and Volunteers

 Assists with special staff and volunteer events – staff training, retreats, luncheons etc.

  • Assists with employee incentive programs as a means for team building
  • Performs the duties of Staff Liaison for volunteers and volunteer projects
  • Performs basic liaison functions with other departments / programs

 Job Purpose:               The Administrative Assistant is responsible for providing administrative and support services to the Chief of Staff and the Human Resources Manager to accomplish time based tasks, and ensure efficient workflow and accomplishment of their objectives.

Primary Duties and Responsibilities

The Administrative Assistant performs the following:

Office Management and Administrative Duties

  • Assists the Chief of Staff and Human Resources Manager by completing administrative tasks including, but not limited to:
    • Replying to email, telephone and face to face inquiries
    • Scheduling appointments and meeting locations
    • Preparing necessary information for meetings
    • Taking accurate meeting minutes
    • Composing correspondence, mailings and reports
    • Developing and maintaining an accurate office filing system
    • Arranging callbacks when needed and providing back-up materials
    • Collecting mail from the Post Office and delivering inter-office mail to other offices
    • Opening, sorting and distributing incoming correspondence
    • Making regular bank deposits
    • Coding invoices for the YWCA and the Train Station when needed
  • Assists in Human Resources by:
    • Maintaining accurate and confidential employee records
    • Assisting with the review process
    • Making screening calls to applicants, recommending applicants to move forward in the hiring process, checking references and arranging and assisting with new-hire orientation
    • Assisting with staff training related to Human Resources
    • Assisting in revising policies and procedures as needed
  • Participates in conferences, training sessions, and meetings relating to areas of assigned responsibility
  • Covers the front desk when needed
  • Handles sensitive information in a confidential manner
  • Maintains high level of professionalism

Description

The Educational Assistant is responsible for ensuring the physical, mental, emotional and social well-being of the children in their care.

Schedule

Childcare has both full and part time positions available, flexible schedules that are great for students. Scheduled shifts Monday – Friday between the hours of 6:15 a.m. and 7:30 p.m.

Afterschool has part time positions available 25 hours per week. Schedule 2 p.m. to 7 p.m. Monday – Friday.

Education/Experience
