Office and Facility Manager

  • Job Purpose: The Office and Facility Manager is responsible for organizing and coordinating office and facility operations and procedures in order to ensure organizational effectiveness and efficiency in all YWCA facilities.

Primary Duties and Responsibilities

The Office and Facility Manager performs all of the following:

Operations Management

  • Create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.
  • Supervise and schedules front desk staff
  • Checks supply stock to determine inventory levels; Anticipates needed supplies and proactively orders to ensure adequate supplies on hand
  • Purchases monthly supply needs for the office, facility, programs and housekeeping
  • Obtains quotes for projects and the purchase of supplies; three bids are required for purchases or repairs over $100.00
  • Manages contracts and facilitates price negotiations with office vendors and service providers and presents negotiated contracts to the Chief of Staff for final approval and authorization
  • Oversee room rentals
  • Verifies receipt of supply
  • Oversees financial matters such as accounts receivable:
  • Enters and or posts weekly/monthly invoices

Enters/posts daily payments

Enters/posts contributions
Generates monthly auto draft payments
Prepares daily bank deposits
Assists the Financial Office Manager in preparing and reconciling monthly statements and financial reports
Verifies accuracy of all receivables amounts (invoices, payments, unpaids, voids, etc)
Verifies and monitors all corrections
Prepares year end A/R for audit

  • Plans and implements office systems, layout and equipment procurement
  • Organizes office maintenance and repair work
  • Assists in facility/program outside errands

Social Enterprise Management

  • Responsible for being familiar with all aspects of the social enterprise’s operation
  • Serves as staff liaison to any social enterprise boards or committees
  • Strategize and collaborate with COS, board, committee and social enterprise managers to align annual goals and objectives
  • Collaborates with the Communications Manager and Social Enterprise Managers to develop and implement annual marketing plans to achieve superior growth; to include:Appropriate and effective marketing materials

Advertising and cross marketing opportunities
Oversight of Social media marketing and communication

  • Provides weekly guidance, goal setting and feedback to Managers
  • Ensures Social Enterprise Managers monitor all aspects of facility maintenance, upkeep and required inspections
  • Cover any shortages when necessary in crisis situations
  • Develop and apply best practices for business and growth development
  • Conducts regular evaluations of services and systems and reports on a regular basis to the COS
  • Represent the organization at meetings and conferences; attends trade shows and promotional events

Facility Management

  • Supervises maintenance personnel
  • Ensures upkeep and maintenance of the YWCA facility
  • Supervises and coordinates all maintenance service and repairs pertaining to building and related equipment, schedules installations and oversees that such repairs are accomplished in a safe and timely manner
  • Implements safety regulations and systems
  • Oversight of marquee
  • Obtains quotes for projects and the purchase of supplies; three bids are required for purchases or repairs over $100.00
  • Manages contracts and facilitates price negotiations with office vendors and service providers and presents negotiated contracts to the Chief of Staff for final approval and authorization
  • Solicits for service/maintenance appraisals
  • Maintains accurate records with regard to annual inspection of equipment and general preventative maintenance
  • Makes periodic inspections of the YWCA facility, YWCA vehicles, equipment, and offsite storage to determine if janitorial and other services are adequate and whether repair work is needed
  • Prepares estimates and recommends and supervises necessary repairs or alterations to buildings
  • Maintains records and prepares reports
  • Directs the requisition, receipt and distribution of supplies, tools and equipment for maintenance and operation of the building(s) and surrounding grounds
  • Reviews and makes recommendations on annual budget estimates; justifies building expenditures
  • Monitors and inspects buildings and premises for fire, security, and safety issues; monitors plans for compliance with codes and state regulations
  • Recommends, coordinates, and/or directs the appropriate utilization of space and the solution of other facility-related events and rentals

Other

  • Participates in conferences, training sessions, and meetings relating to areas of assigned responsibility
  • Oversee and manage YWCA sponsored sport leagues
  • Assures compliance of all YWCA policies and guidelines are followed in all areas of responsibility
  • Performs other duties as assigned by the Chief Executive Officer or Chief of Staff

General Requirements

  • 5 years experience in a facilities/office management role
  • Experience with accounting software
  • Works in a safety-conscious manner which ensures that safe work practices are used in order not to pose a risk to self or others in the workplace. Reports any safety violations or hazards.
  • Complies with YWCA policies and procedures and local, state, and federal regulations
  • Adheres to policy on Drug Free Workplace
  • Interacts in a tactful, diplomatic, and humanistic manner with children, families, visitors, volunteers, and co-workers to provide a safe, efficient and caring environment which ensures self-respect, personal dignity, rights and physical safety of each person.
  • Maintains a dependable attendance record and adheres to standards of cleanliness, grooming, hygiene, and dress code

  • Some travel as required for training and meetings.

Job Type: Full-time

Salary: $17.00 - $20.00 per hour

Afterschool Lead Educator – Female Students 8 years to 14 years of age

Description - The Afterschool Lead Educator is responsible for assisting in the planning and implementing of a successful afterschool STEAM based empowerment program for girls. Individuals will work in accordance with the policies and mission of the YWCA and the Department of Education providing direct interaction and supervision of participants.

Location – YWCA NETN and SWVA, 106 State Street, Bristol, TN

Schedule – This position can potentially be hired as a full or part time position. Part time positions have limited benefits, scheduled 20-25 hours per week. Potential work hours are Monday through Friday between the hours of 2:00 p.m. and 7:00 p.m. Occasional evening or weekend training sessions or field trips may be required. Full time hours and schedules will vary.

Education/Experience – Qualified applicants must be a minimum of 21 years of age and possess an Associate Degree in a related field or equivalent experience working with elementary or middle school youth 4th through 8th grade. Individuals must possess or be willing to obtain upon hire: CPR and First Aid Certification as well as F endorsement driver’s license.
